Terms & Conditions for Individual Travelers
The following terms and conditions apply to all arrangements for travel, lodging and related services booked by the customer (“Customer”) by or through International Marketing & Travel Concepts, Inc. (“IMTC”):
General Conditions and Payment Terms:
Minimum/Maximum stay:
Saturday overnight required. Maximum stay: 30 days. Minimum
Purchase: IMTC requires a minimum of three consecutive nights hotel only
accommodation or the basic land plus air package selected by the client.
Availability: All packages are subject to availability. Seats and
hotel accommodations are limited and may not be available on all flights
or days of the week.
Booking / Change fee:
To proceed with the booking, a non-refundable booking fee of $50 per person
is required, and will be applied toward the final purchase price. If Customer
cancels or changes the reservation after the booking process has been
started but prior to IMTC's receipt of final payment, this booking / change
fee will be charged on Customer’s credit card. In case IMTC is not
able to confirm all package elements to Customer, no booking fee will
be charged.
Travel Insurance:
Customer bears the financial risk of loss of deposit or liability for
cancellation fees as outlined above if Customer is not able to complete
the program as scheduled. Optional travel insurance is highly recommended.
It may be purchased through IMTC or through another vendor of your choice.
Payment in Full:
For bookings within 90 days of US departure:
Payment in full is required within 24 hours of confirmation. Please note
that we do not take payment over the phone. We must receive a completed
and signed credit card authorization form by fax or overnight delivery
within the air ticketing deadline of 24 hours.
For bookings more than 90 days prior to US departure:
Payment in full is required within seven (7) days of confirmation and
no later than (90) days prior to departure. Please note that we do not
take payment over the phone. We must receive a completed and signed credit
card authorization form by fax or mail on or before the payment deadline.
We accept American Express, Visa, MasterCard, Discover or personal check.
Upon receipt of full payment, all tickets, hotel vouchers and other documents
will be issued. Returned checks will be subject to a $50 fee. Upon receipt
of payment in full, combined land & air packages as well as hotel-only
reservations are fully non-refundable, cannot be changed, and cannot be
transferred.
Changes After Departure:
If Customer makes a change to his or her travel arrangements after departing
the USA, the costs of these changes are to be borne by Customer at the
applicable local rates and have to be arranged and paid locally by Customer;
any amendments and changes are to be made by Customer direct, not via
IMTC.
Customer Responsibilities:
Names:
Immediately upon receipt of confirmation, Customer needs to verify that
the names printed on the invoice and confirmation form match the first
and last names as written in the Customers' and/or each individual participants’
passports. Any name changes could require the cancellation and rebooking
of flights, and reservations would then be subject to availability at
the time of rebooking. Name changes are not permitted after payment has
been received and tickets have been issued.
Passports and Visas:
It is the responsibility of Customer and each individual participant to
obtain any travel documents and/or entry requirements necessary for each
country of travel. Entry laws differ with respect to participant’s
citizenship. IMTC cannot obtain personal travel documents for participants
or assume responsibility for notice of countries’ current requirements.
Customers are responsible for any expenses incurred as a result of delays
or itinerary changes related to travel documents.
Travel Advisories:
Customer is responsible to check with the US State Department Bureau of
Consular Affairs regarding any current travel advisories to the destinations
listed in his or her itinerary. (http://www.travel.state.gov/travel_warnings.html).
IMTC will be held harmless from any liability related to potential risks
and hazards of traveling to certain politically unstable destinations
worldwide.
IMPORTANT! New health insurance requirements for visiting the Czech Republic
Please note the following new requirements for ALL visitors to the Czech
Republic, valid as of 11/28/2005:
Visitors are required to have a travel/health insurance to travel to the
Czech Republic. The health insurance must cover the medical services abroad
- if not, visitors must have a travel insurance for possible expenses
and hospitalization charges for medical reasons (accidents or unexpected
illness while traveling in the Czech Republic), including repatriation
to the country of legal residence or the country which issued the passport.
Minimum coverage of the insurance has to be at least $35,000.
Make sure you have a proof of your medical insurance, such as an insurance
card issued by your insurer, with you when entering the Czech Republic.
